Here’s the brief job description included for each post in the Examination Cell:   

1. Controller of Examination (CoE)      

Key Responsibilities:

• Plan, organize, and manage all examination-related activities of the institution.
• Ensure the confidentiality, integrity, and timely conduct of examinations and result processing.
• Formulate and implement examination policies, systems, and procedures in compliance with regulations.
• Supervise and guide examination staff to ensure operational efficiency.
• Coordinate with academic departments for smooth scheduling and conduct of examinations.
• Oversee question paper management, evaluation, and result declaration processes.
• Maintain digital and manual records securely and ensure data integrity.
• Lead initiatives to adopt technology for examination automation and process improvement.

2. Assistant Controller of Examination (ACoE)

Key Responsibilities:

• Assist the CoE in planning, coordination, and execution of examination activities.
• Prepare examination schedules, timetables, and duty rosters.
• Supervise pre-exam, exam, and post-exam operations including evaluation and result processing.
• Ensure compliance with examination rules, procedures, and timelines.
• Manage communication between the Examination Cell, departments, and faculty.
• Oversee maintenance of examination data, reports, and documentation.
• Act on behalf of the CoE when required to ensure continuity of operations.

3. Section Officers

Key Responsibilities:

• Supervise the activities of a specific examination section (Pre-Exam, Conduct, or Post-Exam).
• Coordinate the preparation, distribution, and collection of examination materials.
• Maintain accurate examination records and ensure proper filing and documentation.
• Oversee the work of clerical and support staff within the section.
• Ensure adherence to timelines and standard operating procedures.
• Coordinate communication between the Examination Cell and academic departments.
• Report operational progress and issues to higher authorities for resolution.

4. Executives

Key Responsibilities:

• Handle clerical and operational tasks related to examination management.
• Perform data entry, document preparation, and record maintenance.
• Assist in generating hall tickets, seating plans, and mark entry.
• Support the Section Officer in conducting pre-exam, exam, and post-exam activities.
• Maintain confidentiality and accuracy in examination data handling.
• Coordinate with departments and students for dissemination of examination information.
• Ensure timely completion of assigned administrative tasks.
