Job Title/Designation: Store Keeper (hotel management)
Job Summary:
The Store Keeper is responsible for the efficient management of inventory, procurement, and supply chain operations related to training and administrative needs of the hotel management college. This includes handling purchasing activities, maintaining stock levels, issuing materials to departments, and ensuring all operations comply with college policies and hospitality industry standards.
Job Profile
1. Inventory Management
- Maintain accurate records of all incoming and outgoing stock.
- Perform regular stock audits and physical verifications.
- Ensure proper storage conditions to avoid spoilage, damage, or pilferage.
- Classify and label stock items for easy identification and access.
2. Purchasing & Procurement
- Identify purchasing needs based on stock levels and department requisitions.
- Prepare and process purchase requisitions in coordination with department heads.
- Obtain quotations from vendors, compare prices and quality, and recommend vendors based on value for money.
- Place purchase orders after proper approvals and follow up for timely delivery.
- Maintain records of purchase orders, invoices, supplier contacts, and contracts.
- Ensure that purchased goods meet required quality and specifications.
- Negotiate with suppliers for favorable terms, pricing, and delivery schedules.
3. Issuance & Distribution
- Issue materials to training kitchens, housekeeping labs, front office labs, and administrative departments.
- Maintain issue records with proper authorization.
- Ensure timely availability of materials for classes, practicals, exams, and college events.
4. Documentation & Reporting
- Maintain manual or digital stock registers, issue logs, and purchase records.
- Generate monthly, quarterly, and annual inventory and purchase reports.
- Track and report discrepancies, delays, or damages in received items.
- Ensure proper documentation of goods received and issued.
5. Compliance, Safety & Hygiene
- Adhere to internal policies and external regulatory requirements in procurement and storage.
- Maintain cleanliness and safety in all store areas.
- Ensure perishable goods are stored under proper hygienic and temperature-controlled conditions.
6. Coordination & Support
- Work closely with chefs, lab instructors, housekeeping staff, and administrative personnel to understand supply needs.
- Assist in budgeting for store and supply expenses.
- Support logistics for college events, practical exams, and workshops.
Qualification mandate required as per the following
- Minimum: High school diploma; Preferred: Diploma in Storekeeping, Materials Management, or related field.
- 2–4 years’ experience in store and purchase management, preferably in hospitality or educational institutions.
- Proficient in MS Office (especially Excel); experience with inventory/purchase management software preferred
Work Environment:
- Involves lifting, moving stock, and standing for long durations.
- Regular interaction with suppliers, faculty, students, and college staff.
Skills Required: Strong Knowledge of hospitality supplies, perishable items, and equipment. Prior experience in a kitchen, hotel, or educational institute is an advantage. Proficient in MS Office (especially Excel); experience with inventory/purchase management software preferred. High level of integrity, responsibility, and attention to detail.
